How do I issue a refund?

Last updated

To refund a client, open the invoice that was paid and choose Refund from the More menu.

Steps

  1. Open the invoice from the Invoices page or from the client's billing tab.
  2. Open the More menu and choose Refund. The option only appears when a payment on the invoice still has money that can be returned.
  3. Follow the dialog to confirm the refund.

What happens next

  • Card payments are refunded to the client's card through the payment processor.
  • E-transfer, cash and other manual payments are a record-only refund. You return the money to the client yourself, outside Ignia, and the invoice updates to show it.

A refund cannot be more than the payment still holds. A fully refunded invoice shows as refunded and owes nothing. The receipt shows any refunds, so there is no separate refund receipt.

Good to know

  • If the client paid too much, choose Refund excess to return only the extra amount, or Apply credit to keep it as credit for the client.
  • A payment under an open card chargeback cannot be refunded. The Refund option is greyed out and says why.
  • If you recorded a payment by mistake, use Edit payment or Remove payment in the invoice's payments list instead.

If this does not work

Contact Ignia support by chat with the invoice number and what the Refund option shows.
